Summary

NOVO is a fast-growing, innovative Cloud Solutions Provider seeking a Chief of Staff. Our focus is on resolving Client’s business challenges such as resolving remote workforce challenges, reducing liability, and eliminating growth challenges. We specialize in providing our customers with comprehensive solutions to their technology needs, including cybersecurity and compliance.

Position Description: 

We are seeking a dynamic and versatile Chief of Staff to oversee program operations, manage projects, drive process improvements, and lead cross-functional initiatives to align with the organization’s strategic goals. This role encompasses project management, business analysis, financial oversight, and communication responsibilities, making it ideal for a detail-oriented and strategic professional passionate about organizational success.

Project Management Responsibilities:

• Plan, execute, and oversee projects, ensuring timely delivery within scope and budget. 

• Coordinate cross-functional teams and stakeholders to align project objectives with business goals. 

• Monitor project progress, identify risks, and implement mitigation strategies. 

• Develop detailed project plans, monitor progress, and adapt to changing requirements.

Business Analysis Responsibilities:

• Collaborate with stakeholders to identify process improvements and translate needs into actionable plans.

• Collaborate with stakeholders to elicit, analyze, and document business requirements.

• Create process models, workflow diagrams, and detailed functional specifications.

• Work with external and internal resources to develop and implement systems and/process improvements.

• Coordinate user acceptance testing (UAT) and ensure solutions meet business objectives.

• Assist in training end-users and providing post-implementation support.

Analytics 

• Update and maintain analytics reporting system based on identified requirements to deliver insights across all areas of the company.

Accounting & Financial Oversight

• Resolve client billing inquiries, credits, and discrepancies promptly.

• Prepare financial reports and present to insights to leadership.

• Manage and ensure accuracy in billing, ensuring timely issuance of invoices.

• Create budgets and forecast, monitor budgets versus actuals, delivering actionable insights to leadership.

• Approve expense reports, oversee payroll, and ensure state sales tax compliance.

• Reconcile financial discrepancies, including refunds, double payments, and credits.

• Assist with the annual budgeting process through detailed financial analysis and reporting.

• Manage subscription management and auto payments.

Communications

• Draft, review, and prepare client and employee communications.

• Ensure quality control for marketing materials, emails, and client-facing content.

Required:

• Strong organizational and multitasking skills with a focus on detail and accuracy.

• Proven experience in financial reporting, accounting software, or operations management.

• Bachelor’s degree in business administration, accounting, finance or a related field.

• Minimum of 4+ years of experience in a project management and business analysis roles.

• Proven track record of managing projects from initiation to completion.
